Job Title : Executive Assistant
Report to : Chairman /Executive Director

1.Administer Chairman’s email account and ensure all emails and correspondence are given prompt response and proper attention
2.Coordinate and arrange complex flight and hotel bookings for Chairman and other senior executives, in accordance with company’s travel policies and procedures
3.Prepare, update and manage Chairman’s travel itinerary and disseminate amongst his direct reports accordingly
4.Monitor Chairman’s passport expiry dates, VISA applications, PR status renewals, etc., ensuring validity always
5.Filing of corporate documents/reports, distribution of mails, preparation of office meetings and meeting materials
6.Manage incoming and outgoing telephone calls. Update and maintain contact/telephone list and business cards. Coordinate conference calls whenever necessary and liaise with Singtel WorldConference for any updates and problem solving.
7.Main contact person to liaise with Sales/Hotel Managers ref local hotel’s corporate rates and ensure chalking of good room nights for the continuity of maintaining good corporate rates
8.Perform other office duties, as and when required, that includes maintaining of office stationery and pantry supplies and supervision of office cleaners, etc..
9.Prepare expense claim reports for Chairman’s travel expenses for reimbursement purposes ensuring proper allocations
10.Manage and monitor Chairman’s personal expenses and disbursements, keeping records of bank accounts and credit cards statements
11.Handling other duties such as filing of Chairman’s personal tax returns and submission of Chairman’s personal medical claims (BUPA)

Job Requirements:
1.At least 10 years of proven experience as an Executive Assistant or other relevant administrative support to at least a Senior Director of an organization with minimum Diploma education (equivalent)
2.Excellent professional level of verbal and written communication skills with a broad knowledge of the entire MS Office Suite and the ability to handle sensitive information
3.Ability to handle stress and have a proactive approach to problem-solving with strong decision-making skills in a fast-paced quickly changing environment, whilst still maintaining a courteous disposition, providing professional service to all of Chairman’s contacts and maintaining good rapport with office colleagues
