The office administrator is responsible for the administrative activities related to HR, legal, accounting, facilities, and general organizational support for Gigamon's Singapore office. The position will support all APAC employees and possibility other offices as required from time to time. The role will report directly to the APAC Sales VP.

Key Responsibilities

Reception – answering incoming telephone calls, meet and greet all visitors
Processing purchase requisition’s via AX system for APAC region
Ordering office stationary and weekly orders for the office
Processing expenses claims via Concur for VP
Assist team with sales order processing, Deal Reg and creating new accounts/contacts via SFDC
SFDC Maintenance / Pipeline review sessions working with sales teams
Organizing team meetings via Webex
Dispatching of shipments for sales, marketing, support and HR
Reconciling all invoices, corporate credit card transactions and payments
Reconciling all invoices payments to International Payroll for payment processing
Managing the administration of internal records in all HR aspects e.g. change of address, holiday requests, holiday tracker for APAC and updating HQ on monthly basis
Main contact for APAC new starters and will manage the on-boarding process which includes, purchasing laptops, systems access, order business cards
Responsible for organizing APAC related events inc QBR’s
Travel to and manage APJ sales events
Responsible for booking all travel requirements for colleagues’ business meetings on daily basis
Key contact for facilities and building work for the office which includes fire alarm testing and monthly emergency light testing, updating health and safety log books
Booking in-house meeting rooms, setting up refreshments and lunch if required
Desired Skills and Experience

Prior experience is a plus in an office administrative role
You must have excellent communication and time management skills with the ability to prioritize tasks accordingly.
Have the ability to work independently as well as within a team
Having the ability to multi-task and meet deadlines
Working knowledge of SFDC and MS Office Suite (Excel, Word, PowerPoint, Outlook)
Strong business level English language skills a must.
