Overview / Responsibilities

Wood currently has an exciting opportunity for a Construction Clerk. This role has overall responsibility for providing efficient and effective day to day administration support to a variety on site. Handle and distribute incoming and outgoing calls, correspondences, mail and couriers including delivery of time sensitive emails and other documents
Organize weekly progress meetings and taking minutes for submittal as approved by the construction manager
Organize schedules and coordinate meetings, presentations, conference calls, various other functions and appointments as requested
Coordinate with external vendors to receive, track, distribute and process external invoices, drawings and site documentation to appropriate approving authorities
Prepare and / or revise sometimes highly confidential correspondence, complex internal and external documentation including varied agreements, policies and procedures
Maintain the Site filing system and site records as required including safety and OH&S documents, drawings, sub trade contract files and request for information
Do data entry of project costing such as labour hours, equipment hours and third party costs. Generate project cost reports as directed by Construction team members
Answer queries from the construction team and external parties in a timely manner
Manage departmental assets including materials, safety equipment and vehicles
Skills / Qualifications

Minimum of 2 years’ related administration experience
Experience working in a construction or engineering environment
Administrative Diploma preferred
High degree of professionalism and dedication
Ability to work with multiple Construction Managers / Construction Coordinators / Project Managers within a large team environment
Strong computer skills with proficiency working with Microsoft Office Suite
Experience with electronic filing, data base input and records management
Exceptional interpersonal and communication skills, written and verbal
